A character reference letter can be written by an acquaintance, a previous employer, someone of authority, a member of the clergy, just about any upstanding member of the community.

You really don't need to attend business writing courses to be able to write one.

The impact of the letter will vary depending on the author’s status, position, fame, title, credibility, etc.

Who is The Recipient and What is its Purpose?


It may be used as a reference letter for employment, for a school, or a letter confirming a person’s character for legal matters.

The main thing to determine is the purpose of the letter so that you will know which part or parts of the person’s character to highlight and which to, ahem, not highlight.


Letters Last Forever… Don’t Ever Write One That You’re Not Comfortable With.


When you write a character reference letter, your credibility is on the line.

If you think that the person has an integrity issue then thanks, but no thanks and... bye bye for now!


Who’s it Going To?


If you are comfortable writing the letter, get the recipient’s details upfront so that you can personalize the letter.

You will need the name of the contact and the contact’s title (if applicable), the name of the company (if applicable), and the address that the letter is to be sent to.

If it’s going to be used as an attachment to a resume, it is appropriate to use “To Whom It May Concern:” as the salutation.


Include Your Details in The Return Address.


For the letter to have any impact, sometimes it is important for the recipient to contact you or at least verify that the letter really is from the correct person.

And… Be Positive.

A character reference letter should focus on, and highlight, the positive aspects of the person you’re writing it for.

Any negatives are best left out.

So, rather than fib about areas, you can approach it a different way.

For instance, if you are writing it for a former employee who was a really good worker but regularly late, rather than tell a little porky and say how they were always on time, perhaps you could focus on the fact that they were a really good worker.


Use a Template So You Get The Format Right.


A character reference letter can be written as a personalized business letter or as a generic letter, if it’s going to several people.

If using a business letter format, a template will ensure you stay on track.
