Business Letter Template

A Badly Written Business Letter Can
Literally Cost You Business



Writing a Business Letter is Simple... If You've Attended Business Writing Courses.



Creating a business letter template is not difficult for those fortunate enough to have an online business degree education that included business writing courses.

To come up with a letter in an acceptable business letter format is a simple task.

Learning how to write a letter seems easy but to many of us, it most definitely is not.

So… I have prepared a template in block format that will do nicely for any business letter.


Instructions For Using My Business Letter Template…


For Use on a Company Letterhead.

  • You will need to include 10 line spaces in your word processor
  • Copy the template from this website and paste into your word processor
  • It is a good idea to save the template as a file before you make any changes, then you can use it time and again
  • Highlight each section and personalize it
  • Delete any sections that you do not desire to include in your letter
  • Check spelling and grammar
  • Print the letter out on your letterhead

For Use on a Plain Letterhead.

You will follow the same instructions above, except you will first add your name and address to the top of the page.

You can be fancy, or not. It is entirely up to you!



Here's My Business Letter Template…


Feel free to use this template as often as you wish…


    Insert Date

    Insert Recipient’s Name
    Insert Recipient’s Title
    Insert Company Name
    Insert Mailing Address


    Re: Insert what the letter is about


    Insert salutation:


    Insert the body of the letterInsert complimentary close


    Insert typed name
    Insert your title

    Enclosure: Insert description of enclosures or the number of enclosures

    cc: Insert names of the people that copies of the letter were sent to


Notes...


  • Your signature goes between the complimentary close and your typed name
  • If you don’t know the name of the recipient, it is appropriate to use: “To Whom It May Concern”, “Dear Sirs” or “Ladies and Gentlemen”, whichever feels most comfortable
  • You can also use the title in lieu of a name, for instance, “Personnel Manager”, if you want the personnel manager to receive the letter
  • If you are typing the letter for someone else, you should also include the initials of who the letter is from in capital letters followed by a slash and your initials in lower case: this appears beneath the enclosure statement


If you are required to write a business letter on a regular basis, it’s really a good idea to save a business letter template to your desktop.

I write business all the time and you would think that I would remember the format from one letter to the next… but I don’t.

Sometimes, I place the date in the wrong place because I don’t remember whether it is supposed to go above or below the inside address.

Every letter doesn’t require an enclosure statement or a cc: statement, so sometimes I forget where these go.

With a business letter template at hand, you can’t make those goofy mistakes that make you look unprofessional!
