There Are Three Basic Formats That You Can Use:
- The block format
- The modified block format
- The indented or semi-block format
Block Format.In my humble opinion, block format is the easiest to use and it looks more professional than the others. Basically, everything is aligned at the left margin. If the situation allows you to choose which business letter format to use, I highly recommend this one.
Modified Block Format. If you are typing business letters for someone else, they may prefer modified block format. This format is basically the same as block format, except the return address, date and the closing start at the center of the page.
Semi-Block Format. Some people are prone to using indenting, probably because it’s emphasized when learning to write paragraphs. This format was very popular before word processing software hit town. It is basically like the modified block format, with the return address, date and closing starting at the center of the page, only each paragraph is indented. In my opinion, this format is extremely outdated and it looks unprofessional, but if you are typing for a dinosaur, you may be required to use it.
My Advice…
"Keep it simple"If you have the freedom to choose, the block format is the best business letter format around. It is easy to use, you are less likely to make mistakes, and every letter that you produce will look professional. If you don’t have to power to choose, well, don’t tell your boss that he or she is a dinosaur! OK? Just go with flow and do your best to keep your business correspondence professional, regardless of which format you have to use. Once you decide which business letter format you'll be using, make a template and save it on your desktop. That way, you won’t have to use your brain too much to get the format right every time that you have to write a business letter. It will be a piece of cake!
